Job description

Founded in 1968, ESCE – International Business School is one of the leading business schools in France with 180 international exchange partner institutions and 18 International Double Degree programs. It is situated in the heart of Paris, in the 15th district, steps away from the Eiffel Tower. ESCE offers a 5-year Master’s degree program accredited by the French Ministry of Higher Education and Research. Within the 5-year curriculum, ESCE provides many opportunities for its students to study abroad either within the exchange programs or double degree programs in order to enrich their intercultural experience.

With almost 50 years of experience, ESCE welcomes around 700 international students and approximately 900 of the ESCE French students participate in study abroad or double degree programs each year.

The International Relations Coordinator wil be joining a dynamic and dedicated International Relations team and will be responsible for managing and carrying out the activities that will be assigned according to the strategic priorities of the International Relations Department.

Reporting to the Head of International Relations at ESCE, this position may include but not limited to the following responsibilities:

Management of incoming and outgoing students within a team environment:

Incoming international students

  • Update Welcome Guide issued to the incoming international students
  • Update ESCE Fact Sheets for the partner universities and send the appropriate information to the partner university contacts
  • Organize and conduct Orientation & Welcome Sessions for incoming new international students
  • Provide appropriate and important administrative information to the international students regarding OFII procedures, carte de séjour renewal procedures, Social Security registration, CAF, and off campus housing information
  • Centralize all OFII forms, carte de séjour renewal applications, Social Security coverage information and send them to the appropriate governmental authorities and follow-up on the application statuses and act as the contact person for the school
  • Provide detailed information on course registration procedures for incoming exchange students
  • Collect and process the applications from incoming exchange students
  • Follow course registration guidelines for the exchange students and liaise with the internal scheduling department to assure the distribution of the proper time tables for the incoming international students
  • Verify the learning agreements for the incoming students and assure that they are processed and signed in a timely manner
  • Conduct end of semester farewell meetings and provide pertinent information for students returning to their home countries (ie: how to close their EDF accounts, cell phone lines, etc.)
  • Verify their grades once processed and send them to the appropriate contacts at the partner universities
  • Maintain good relations with the partner universities

Outgoing French students

  • Update partner institution information and their Fact Sheets (ie: contacts, academic calendar, courses offered, etc.)
  • Update and monitor inflow and outflow of student numbers from partner institutions
  • Organize and conduct information meetings before departure for outgoing French students on exchange programs
  • Provide specific information on partner institutions concerning course registrations, housing, language requirements, country information, etc…
  • Assure that the outgoing students take the required amount of credits asked by ESCE while on exchange
  • Assist in updating the “Outgoing Exchange Student Guides” for all exchange and double degree programs
  • Centralize all outgoing exchange student applications and communicate to the appropriate partners once nominated by ESCE
  • Follow-up with ESCE students who are at the partner institutions on their course registration and have their learning agreements signed by the appropriate academic staff at ESCE
  • Follow-up and input all grades once the students return to ESCE from their study abroad semester or year
  • Maintain good relations with the partner institutions

All other activities in order to maintain the smooth functioning of the International Relations Department.

Required background and skillsets

  • Minimum education background Bac+4 or a Bachelor’s degree
  • Minimum 2 years of work experience at an International Office handling exchange or international programs or any academic programs
  • Must be fluent in both English and French languages (written and spoken) and a good knowledge of another language is a plus (ie: German, Portuguese, Chinese, etc…)
  • Has experience working in a higher education institution in France or abroad
  • Enjoys working with students and helping and advising students
  • Organized and detailed oriented
  • Professional, diplomatic and a good communicator
  • Easily adaptable and enjoys working in a multicultural and multilingual environment
  • At ease working in a fast pace professional atmosphere
  • Friendly and dynamic
  • A true team player
  • A good knowledge of Microsoft Office (Word, PowerPoint, Excel)
  • A good knowledge of social media (FaceBook)
